Filanc Construction Uses eCopy Document Imaging Solutions from Nuance to Build Paperless Business Processes

           Nuance Communications, Inc., a leading provider of speech and imaging solutions, announced that J.R. Filanc Construction Company Inc. has selected Nuance’s eCopy PaperWorks software for creating paperless office processes.

           Filanc is a construction company headquartered in Escondido, California. It specializes in water and wastewater facilities, treatment plants, water reclamation facilities, solid waste recycling facilities, pump stations, reservoirs and hydroelectric generating facilities.
           Previously Filanc had to rely on courier services to send and retrieve documents to and from job sites as many of its employees work out in the field at construction sites. This was expensive and led to inefficient work processes. That is how they came to the decision to go paperless in order to reduce costs and improve workflows. Now all corporate information goes into a Microsoft SharePoint repository. Each department has its own SharePoint page. Filanc uses eCopy PaperWorks software to bring paper-based information into SharePoint libraries. As PaperWorks has built-in integration to Microsoft SharePoint, Filanc can now store scanned documents in SharePoint libraries so all workers can participate in SharePoint workflows.
           In order to accelerate the accounting process, Filanc project managers at work sites now receive emails containing links to scanned invoices stored in SharePoint. Using PaperWorks on portable computers, they check out documents from SharePoint, act on them by using eCopy annotation tools and check in the updated documents with full version control by SharePoint, which allows them to complete review and approval while on the site.
          PaperWorks and Microsoft SharePoint also work together in Filanc offices to improve business processes. Filanc office employees scan documents to a shared network folder using a scanner or an office copier. Once a document has been scanned, the Nuance software adds a notification on the person’s desktop toolbar. Filanc personnel can then act on the documents using PaperWorks tools. Documents are saved as searchable PDF files and added to a SharePoint library or sent via email for further review and action.
